  • ELIGIBILITY

  • BOOKING AND RESERVATION:

Prior to making any reservations, it is the client’s responsibility to thoroughly review all the details associated with your chosen service, including but not limited to, the following sections: Pricing and its notice, Tour itinerary, Package Includes, Package Excludes, Cancellation and Refund Policy, Terms and Conditions, etc. By proceeding with your reservation, you acknowledge that you have read and comprehensively understand the content of all fine print and agree to waive the right to dispute any aspect of it post-purchase. After completing your booking/reservation, it is your responsibility as the customer to ensure that all contact information remains current and up-to-date.

PROCEDURE FOR MAKING RESERVATIONS:

Research and Selection: The client researches services, destinations, tour packages, and travel dates offered by us. They choose the desired tour package or itinerary based on their preferences and requirements.

Contacting Us: The client contacts us via our website, phone, email, or in-person visit. They inquire about availability, pricing, and any specific details regarding the chosen service or tour package.

Reservation Request: The client submits a formal reservation request, specifying the service/tour package, travel dates, number of participants, and any additional preferences or special requirements.

Confirmation and Payment: We confirm the availability of the requested service/tour package and provide the client with a reservation confirmation. The client is informed about the payment options, including deposit requirements, payment deadlines, and accepted forms of payment (credit card, bank transfer, etc.).

Payment Submission: The client submits the required deposit or full payment for the reservation, adhering to the payment terms and deadlines specified by us. Payment may be made online through a secure payment gateway or via other accepted methods.

Confirmation of Payment: Upon receiving the payment, we issue a payment confirmation to the client, acknowledging receipt of funds and confirming the reservation.

Pre-Trip Preparation: The client receives additional information and documentation from us, such as itinerary details, travel vouchers, accommodation confirmations, and any relevant travel advisories or requirements.

Finalizing Details: The client ensures that all personal details, including contact information and passport details, are accurate and up-to-date. Any remaining questions or concerns are addressed with us prior to the trip departure date.

Travel Experience: The client enjoys their travel experience as per the confirmed itinerary, with assistance and support provided by us throughout the journey. 

  • PAYMENT TERMS:

Deposit Requirement and Full Payment Deadline: 

A 50% deposit is required at the time of booking to secure the reservation. The deposit amount will be specified in the booking confirmation and is non-refundable unless otherwise stated during confirmation.

The remaining balance of the total tour cost must be paid 30 days prior to the departure date. Failure to complete the full payment by this deadline may result in the cancellation of the reservation and forfeiture of the deposit.

Accepted Forms of Payment:

We accept payment via credit/debit card, bank transfer, M Pesa or other approved methods as specified during the booking process. Payments made by credit/debit card may be subject to additional processing fees.

Currency:

All prices are quoted in USD and KES unless otherwise indicated. Payments must be made in the specified currency, and any currency conversion fees or exchange rate fluctuations are the responsibility of the client.

Price Validity:

Prices quoted at the time of booking are valid for the specified service/tour package and travel dates only. We reserve the right to adjust prices or apply surcharges for unforeseen circumstances such as currency fluctuations, changes in government taxes or fees, or significant increases in operational costs. Clients will be notified of any price changes prior to finalizing their booking.

Late Payment:

Any payments received after the specified deadline may be subject to late fees or penalties. We reserve the right to cancel reservations for non-payment and release the tour package for sale to other clients.

Refunds:

Refunds for cancellations or modifications to the reservation will be processed in accordance with our Cancellation and Refund Policy, as outlined in these terms and conditions.

Invoice and Receipts:

Upon request, clients will receive an invoice and receipt for all payments made towards their reservation.

  • PRICING:

Quoted Prices:

All prices quoted for our tours and travel services are in [specified currency] and are subject to change without prior notice. Prices displayed on our website or promotional materials are indicative and may vary based on factors such as seasonal fluctuations, availability, and currency exchange rates.

Inclusions and Exclusions:

The prices quoted for our tours and travel packages include all specified inclusions as outlined in the tour itinerary or package details. Any additional services, activities, or incidental expenses not expressly mentioned in the tour package will be at the client’s own expense.

 

Taxes and Fees:

Prices are inclusive of applicable taxes, fees, and surcharges, unless otherwise stated. Clients will be informed of any additional taxes or fees at the time of booking.

Payment Terms:

A deposit is required to confirm bookings, with the remaining balance due prior to the departure date. Failure to complete full payment by the deadline may result in cancellation of the reservation and forfeiture of the deposit.

Refunds and Cancellations:

Refunds for cancellations or modifications to bookings will be processed in accordance with our Cancellation and Refund Policy, as outlined in our terms and conditions. Clients are encouraged to review the cancellation policy before booking.

  •  CANCELLATION AND REFUND POLICY

We strive to ensure that all tour arrangements remain as planned to the best of our ability. However, in the interest of safety and security, we retain the right to make necessary amendments, which may include alterations, postponements, or cancellations of tours due to factors such as inclement weather, transportation issues, civil unrest, or any other circumstances beyond our control.
We commit to communicating any changes to tours and travel arrangements in a timely manner, ensuring that our clients are informed well in advance. 

All bookings reduction and cancellations by the clients should be notified to Dynasty Expeditions Ltd reservations office in writing. 

Any reservations cancelled, reduced in length of stay or in numbers are subject to the below no show and cancellation charges: 

  • Within 30 – 15 days from the date of travel, 50% of the applicable rate except flights will apply.
  • Within 14 – 8 days from the date of travel 75% of the applicable rate except flights will apply.
  • Within 7 days from the date of travel, 100% of the applicable rate except flights will apply.
  • No show: 100% of the applicable rate will apply.
  • Flight refund/cancellation is subject to the fare rules on the issued ticket.
  • Credit shells may be given where applicable 

  • TRAVEL DOCUMENTATION:

Passport and Visa Requirements:

It is the responsibility of clients to ensure they possess valid passports and any required visas or permits for their intended travel destinations. Clients must verify passport validity requirements and visa application processes well in advance of their departure date.

Accuracy of Information:

Clients are responsible for providing accurate and complete information for the issuance of travel documentation, including passport details, names, and any other required information. Any discrepancies or inaccuracies may result in delays or denial of entry at immigration checkpoints.

Travel Advisories and Health Requirements:

Clients should review travel advisories issued by relevant authorities for their destination(s) and take necessary precautions. Additionally, clients must comply with any health-related requirements, such as vaccinations or medical certifications, as mandated by local authorities or international regulations.

Travel Insurance:

We strongly recommend that clients obtain comprehensive travel insurance to cover unforeseen events, including trip cancellations, medical emergencies, and other travel-related incidents. Travel insurance can provide financial protection and assistance during unexpected situations.

Documentation Assistance:

We may provide assistance and guidance regarding travel documentation requirements upon request. However, clients ultimately bear the responsibility for ensuring compliance with all relevant documentation requirements.

Changes to Travel Documentation:

Clients must promptly inform us of any changes or updates to their travel documentation, such as passport renewals or visa approvals. Failure to provide updated information may result in complications or disruptions to travel plans.

Liability Waiver:

We shall not be liable for any consequences arising from clients’ failure to comply with travel documentation requirements or for any inaccuracies or omissions in the information provided by clients.

  • HEALTH AND SAFETY:

Medical Conditions and Pregnancy:

If you have a medical condition or are pregnant and considering travel, it is imperative that you consult with your doctor before proceeding. This is especially important if your medical condition requires daily routine care, urgent medical attention, or if your pregnancy is deemed high-risk.

Disclosure Responsibility:

Clients are responsible for ensuring they are medically fit to participate in the tours and activities offered by our company. Clients should disclose any pre-existing medical conditions, disabilities, dietary restrictions, pregnancy or any other health-related concerns that may impact your ability to travel safely. This can be done at the check-out process by adding special comments or notifying us directly in writing. 

Limitations of Company:

Please be aware that our company is not equipped to provide medical services or urgent care during travel. In the event that such services are required, you understand that we are not liable for any risks, incidents, or consequences incurred during travel related to your medical condition or pregnancy.

Insurance Recommendations:

We strongly recommend that clients obtain comprehensive medical and travel insurance that includes coverage for medical emergencies, evacuation, and repatriation. Travel insurance can provide financial protection and assistance in the event of unforeseen medical situations or accidents during travel.

Medical Assistance:

Clients should adhere to any health and safety guidelines provided by our company, tour guides, or local authorities during the tour. This may include wearing protective gear, following hygiene practices, and maintaining physical distancing where applicable

We will make reasonable efforts to assist clients in accessing medical care or assistance if needed during the tour. However, clients are responsible for any costs associated with medical treatment, medications, or other healthcare services obtained during the tour.

Assumption of Risk:

Clients acknowledge and accept the inherent risks associated with travel, including but not limited to, accidents, injuries, illnesses, and exposure to infectious diseases. By participating in our tours, clients voluntarily assume all such risks and release us from any liability arising from such incidents.

Emergency Procedures:

In the event of an emergency situation, clients should follow the instructions provided by our tour guides or designated representatives. Emergency contact information will be provided to clients for assistance outside of regular business hours.

Travel Restrictions:

Clients should stay informed about travel advisories, health alerts, and entry requirements for their destination(s) and comply with any travel restrictions or quarantine measures imposed by local authorities.

  • FORCE MAJEURE:

Definition:

We shall not be liable or responsible for any failure to perform, delay in performance, or interruption of our services resulting directly or indirectly from acts of God, natural disasters, war, terrorism, civil unrest, strikes, labour disputes, government actions, pandemics, epidemics, or any other circumstances beyond our reasonable control (“Force Majeure Event”).

Effect of Force Majeure:

In the event of a Force Majeure Event, we may, without liability, and at our sole discretion, either:

  1. Suspend, delay, or modify our services;
  2. Offer alternative travel arrangements, where possible; or
  3. Cancel the affected tour or service and provide a refund in accordance with our Cancellation and Refund Policy.

 

Notification:

We will make reasonable efforts to promptly notify affected clients of any Force Majeure Event and its impact on their bookings. However, we shall not be liable for any failure or delay in providing such notice.

Limitation of Liability:

We shall not be liable for any losses, damages, expenses, or inconvenience incurred by clients as a result of a Force Majeure Event. Clients are encouraged to obtain travel insurance to cover unforeseen circumstances beyond our control.

Waiver:

The occurrence of a Force Majeure Event shall not constitute a waiver of our right to enforce any other terms and conditions of the agreement.

Continued Obligations:

The obligations under these terms and conditions shall be suspended to the extent affected by the Force Majeure Event, but shall resume once the event ceases to have an effect.

Communication:

Clients affected by a Force Majeure Event are encouraged to maintain open communication with us to discuss alternative arrangements or options available.
